Administrative Coordinator
Status: Part-Time, 20–30 hours per week, Non-Exempt
Compensation Range: $25–$30 per hour, paid bi-monthly
Supervisor: Executive Director
Location: Remote work, but applicant to reside on Olympic Peninsula
Position Summary
The Administrative Coordinator plays a key role in supporting the mission and programs of Olympic Housing Trust (OHT). This position provides administrative, organizational, and communications support to the Executive Director and the Director of Development & Communications. The ideal team member is highly organized, detail-oriented, and passionate about helping grow and sustain OHT’s community of donors, members, and supporters.
Essential Functions
Administrative & Office Management
· Oversee general office operations and maintain organized digital filing and data systems.
· Receive, process, and organize incoming mail, payments, expenses, donor/member information, and other administrative data.
Marketing, Communications & Technology
· Maintain and update OHT’s website and social media platforms.
· Utilize Mailchimp email marketing for newsletters, campaigns, and donor engagement.
· Run and produce data reports as requested for fundraising, marketing, and program evaluation.
Meetings, Events & Document Production
· Prepare agendas, materials, logistics, and amenities for meetings and events.
· Assist with planning organization-wide events in collaboration with committees and staff.
· Support preparation of OHT policies, contracts, educational materials, and other documents.
Fundraising & Donor Support
· Maintain and update donor and member tracking systems (CRM/database).
· Support annual fundraising campaigns, appeals, and giving initiatives.
· Assist with donor acknowledgments and stewardship communications.
· Build and sustain donor relationships and help cultivate new supporters.
· Support and expand OHT’s annual membership base.
Bookkeeping Support
· Assist Clarity (OHT’s accounting firm) with day-to-day financial reporting tasks as needed.
Other Duties
· Perform additional responsibilities as assigned by the Executive Director.
Required Qualifications
· Experience in fundraising, donor relations, or community engagement.
· Excellent interpersonal and communication skills.
· Strong organizational skills with exceptional attention to detail.
· Ability to work independently and collaboratively within a small team.
· Commitment to OHT’s mission of affordable housing and community stewardship.

Preferred Skills and Experience
· Bachelor’s degree or equivalent experience in business, finance, marketing, nonprofit leadership, or communications.
· Experience working in a nonprofit setting.
· Experience in affordable housing or community development.
· Experience with giving platforms (e.g., Give Lively) and email tools (e.g., Mailchimp).
· Proficiency with Microsoft Office, Google Workspace, and CRM systems.
· Experience with social media management.
